Business communications specialist Isabella Strong shares 4 keys to writing clear and concise messages that readers will understand.

Topic Sentence

It is important to organise your writing in a way that is simple and easy to understand. A topic sentence helps to achieve this goal.

“Every paragraph needs to begin with a topic sentence.” This sentence establishes the subject or main idea of the paragraph.

Paragraph Structure

Any business correspondence should have an introductory paragraph which contains the main message.

“The paragraphs that follow…should elaborate and discuss and analyse and give examples of what you have said in the main message.”

The final paragraph should reinforce the main message and include an action statement if necessary.

Repetition

“Sometimes repetition is not useful.” However when it is used appropriately repetition can highlight or support an idea. This helps readers understand the main points of the correspondence.

Linking Words and Ideas

People need to see things in a logical order to understand the message. Use specific words to link supporting sentences to topic sentences.

Words like addition, comparison, result and concession are useful in linking writing and creating context.
